Communication Policy
This policy outlines expectations around scheduling, cancellations, and communication at Saela Ro. These policies are in place to support consistency, protect your dedicated appointment time, and ensure the practice runs smoothly for all clients.
Business Hours
Jovie observes the following business hours:

Monday-Friday: 8:00 AM - 5:00 PM (Mountain Time)

Weekends (Saturday & Sunday): Closed - not considered business days
Communications received outside of business hours will be responded to on the next available business day. Weekends are not counted toward any cancellation notice windows.

Session Length & Late Arrivals
Standard sessions at Saela Ro are 50 minutes in length. Each session is scheduled with a defined start and end time, and those times are fixed.
If you arrive late, your session will still end at its scheduled time. Time cannot be added to the end of a session to make up for a late start, as subsequent appointments and clinical responsibilities must be honored.
Here is how this looks in practice:

Session scheduled 2:00 PM – 2:50 PM → you arrive at 2:15 PM → session runs 2:15 PM – 2:50 PM (35 minutes)

Session scheduled 2:00 PM – 2:50 PM → you arrive at 2:30 PM → session runs 2:30 PM – 2:50 PM (20 minutes)
Please note: a late arrival does not reduce the session fee. You will be charged for the full 50-minute session regardless of your arrival time.
If you know you are running late, please reach out as soon as possible. In some cases, your clinician may be able to adjust, but this is not guaranteed and should not be expected.

Cancellation Policy
Notice Requirement
Clients must provide a minimum of 24 business hours' notice to cancel or reschedule a session without incurring a cancellation fee.
Because weekends are not business days, please plan accordingly:

A session scheduled for Monday must be cancelled by Friday before 5:00 PM to meet the 24 business-hour window.

Notice submitted on Saturday or Sunday will not count until Monday morning.

Late Cancellations & No-Shows
Cancellations made with less than 24 business hours' notice, or sessions where the client does not attend without prior notice (no-show), will be charged a cancellation/no-show fee. The fee amount will be communicated to you separately in your mandatory disclosure statement.

Standing Appointment & Slot Release Policy
Many clients are offered a standing weekly or recurring appointment slot. This slot is held exclusively for you.
If 3 consecutive sessions are cancelled, your standing appointment slot will be released. Following this, scheduling will shift to a week-by-week basis, meaning sessions will be scheduled one at a time based on availability rather than held in advance.
This policy helps ensure that appointment availability can be extended to clients who are actively engaged in treatment. If your circumstances change and you are ready to return to a standing slot, please discuss this with Jovie.
